How to organize ChatGPT chats into folders
After a few months of daily use, the ChatGPT sidebar becomes a long list of auto-generated titles, and finding last month's chat about your tax return or that useful SQL query means a lot of scrolling. This guide covers what ChatGPT offers for organizing chats today, where those tools fall short, and how to add simple folders with a free extension.
Option 1: ChatGPT Projects (built in)
ChatGPT's own way to group chats is Projects. According to OpenAI's help article Projects in ChatGPT, you can:
- Select New project in the sidebar, then give it a name, an icon and a color.
- Drag an existing chat onto the project, or open a chat's menu and choose Move to project.
- Add files and project instructions so new chats in that project share the same context.
OpenAI says you can create an unlimited number of projects, and projects are included with every qualifying plan at no extra cost.
What to know before you move everything into projects:
- Projects are designed as workspaces, not only as labels. OpenAI notes that a chat moved into a project inherits the project's instructions and file context, and project chats can use each other as context depending on your memory settings. That is great for ongoing work, but it is not what you want if you only meant to file a chat away.
- Chats created with a GPT cannot be moved into a project, according to the same help article.
- OpenAI's documentation does not describe putting one project inside another, so you get one level of grouping.
Good for: long-running work where shared files and instructions help, like a thesis, a client or a codebase.
Option 2: Search, rename and archive
ChatGPT's sidebar search finds chats, projects and files. On the web, press Ctrl+K (Windows) or ⌘+K (Mac), as described in OpenAI's article Finding your chats, projects, and files. Combine it with a few habits:
- Rename important chats with a prefix, such as "Work – Q4 budget" or "Code – auth bug". Search then works much better than with auto-titles.
- Archive finished chats so the sidebar only shows what is active.
This costs nothing, but it relies on discipline, and the sidebar is still one long list.
Option 3: Folders and subfolders with ConvoRail
ConvoRail is our free browser extension for Chrome, Firefox and Edge. It adds a small panel at the top of the ChatGPT sidebar with plain folders. They are just for organizing, so filing a chat changes nothing about how ChatGPT answers in it.
Set it up
- Install ConvoRail and open chatgpt.com. The ConvoRail panel appears at the top of the left sidebar.
- Click + Folder and name it, for example "Work", "Learning" or "Personal".
- Need more structure? Open a folder's menu and choose Add subfolder. Folders can have one level of subfolders, such as Work → Client A.
File your chats
- Drag a chat from the sidebar onto a folder.
- Or open the chat and use Add current chat to folder.
- Or hold Alt and right-click a chat in the sidebar to pick a folder.
Folders can be renamed or deleted from their menu. Deleting a folder never deletes your chats: they simply go back to being unfiled.
Find things again
Press Ctrl+Shift+F (Mac: ⌘+Shift+F) to open ConvoRail's search, which looks through chat titles and the full message text of every chat you have opened since installing it. A chat's text is indexed the first time you open it. The panel also has a quick filter for folder and chat names.
Keep a copy
Each folder can be exported as one JSON file. The current chat can be exported as Markdown or JSON, and the toolbar popup can back up and restore all your folders. See our guide on exporting ChatGPT conversations for details.
Privacy: your folders, the search index and backups are stored only in your browser. ConvoRail has no account, no server and no analytics. That also means folders do not sync between computers by themselves: use Export backup and Import backup to move them. The extension works in desktop browsers, not in the ChatGPT phone apps.
Turn your ChatGPT sidebar into folders. ConvoRail is free and keeps everything in your browser.
Projects or folders? Use both
They solve different problems, and they work well together:
- Use a project when ChatGPT should share files, instructions and context across chats.
- Use a folder when you just want to find a chat again later, without changing how ChatGPT behaves in it.
A simple starting layout is three or four top-level folders, such as Work, Learning, Personal and Archive, with subfolders only where a folder grows past a screenful. Spend two minutes at the end of each week filing new chats, and the sidebar stays manageable.
FAQ
Does ChatGPT have folders?
ChatGPT has Projects, which group chats together with shared files and instructions. It does not have plain folders and subfolders, which is why extensions like ConvoRail exist.
Will ConvoRail change or delete my chats?
No. It only stores which folder each chat belongs to, in your browser. Your conversations stay in your ChatGPT account as they are.
Can I see my folders on another computer?
Not automatically. Export a backup from the ConvoRail popup and import it in the other browser.
Does it work with Claude or Gemini?
ConvoRail currently works on ChatGPT only.
